Privacy Policy
Saltway Systems Bot · Last updated 5 November 2026
This policy explains what information Saltway Systems Bot (“the bot”) and this website, discord.saltwaydigital.co.uk, collect, why, and what you can do about it. The bot and website are run by Saltway Digital (“we”, “us”), which is the data controller for the information described here.
The bot can be added to many Discord servers. Each server is run by its own owners and moderators, who are not part of Saltway Digital. This policy covers only what Saltway Digital does with your information.
1. Information we collect
When you get verified (Linked Roles)
When you choose to verify, Discord asks your permission to share some details with us. If you agree, we receive and keep:
- your Discord user ID and username;
- the date and time you verified;
- the date your Discord account was created (this is worked out from your user ID).
Discord also gives us a temporary access token. We use it once, straight away, to update your linked-role connection, and then discard it. We do not store it.
We never receive your email address, password, phone number, payment details, friends list or messages.
When you use slash commands
When you use a command such as /verify or /ping, Discord sends us information about that interaction, including your user ID, username, the server and channel it was used in, and the command name. We use this only to reply to you, and we do not save it. The only exception is /forget-me, which uses your user ID to find and delete your record.
When you visit this website
Like most websites, our server briefly records technical details such as your IP address, browser type and the pages requested, to keep the service secure and working. We do not use analytics, advertising or tracking cookies.
2. Cookies
We use only cookies that are strictly necessary:
- sw_state — a random value that protects the verification process from forgery. It lasts 10 minutes.
- sw_admin — keeps Saltway Digital staff signed in to the admin area. Visitors never receive it.
3. How we use your information
- To confirm you are verified and tell Discord, so you can claim roles that server admins have linked to Saltway Systems Bot.
- To let servers set requirements such as “verified” or “Discord account at least 30 days old”, which helps them keep out spam and throwaway accounts.
- To answer your commands.
- To keep the service secure, prevent abuse and fix problems.
We do not sell your information, use it for advertising, or use it to make automated decisions that have legal or similarly significant effects on you.
4. What Discord and server members can see
When you verify, we send Discord your verified status, verification date and account creation date. Discord uses these to decide whether you meet a role's requirements in each server. Discord may show “Saltway Systems” and your username as a connection on your profile, and server members may see which linked roles you hold. You can manage this in Discord under User Settings → Authorized Apps and Connections.
5. Lawful basis (UK GDPR)
- Verification — to provide the service you ask for when you choose to verify.
- Commands and security logs — our legitimate interests in running a secure, reliable bot that works properly.
6. Who we share information with
- Discord Inc., as described above. Discord's own Privacy Policy applies to how Discord handles your information, including transfers outside the UK.
- Our hosting provider, which runs the server this service is on, under contract and only on our instructions.
- Authorities, if the law requires it.
7. How long we keep it
- Verification record — until you delete it with
/forget-me, ask us to delete it, or we shut the service down. - Command data — not stored.
- Technical logs — normally deleted within 30 days unless needed to investigate abuse.
8. Your rights
Under UK data protection law you can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or transfer it. The quickest ways to delete your data:
- type
/forget-mein any server that has the bot; and - in Discord, go to User Settings → Authorized Apps and remove Saltway Systems Bot, which removes the linked-role connection from your profile.
For anything else, contact us at info@saltwaydigital.co.uk. We will reply within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
9. Children
You must meet Discord's minimum age in your country to use Discord and the bot (13 in the UK). We do not knowingly collect information from anyone younger.
10. Server owners and other bots
Server owners and moderators decide which roles need verification and how their servers are run. They, and any other bots in a server, are responsible for their own use of information. This policy does not cover them.
11. Security
Our website is served only over HTTPS. Every request to our interactions endpoint is checked against Discord's cryptographic signature. Our stored data is kept on a server with restricted access.
12. Changes to this policy
If we change this policy, we will update the date at the top of the page. If the changes are significant, we will give notice on this website.
